The Role

We are looking for a highly organised and detail-oriented professional to support the coordination and administration of customer enquiries, tendering activities, and project execution. This role is central to ensuring the smooth and efficient delivery of complex decommissioning operations by managing documentation, scheduling, communication, and compliance processes.

Working closely with technical teams, the successful candidate will help facilitate the planning and execution of projects such as well severance, structural and subsea dismantling, and controlled flow excavation. While a general understanding of cold cutting technologies and related tools is beneficial, the emphasis of this role is on administrative support rather than technical leadership. The ideal candidate will be proactive, reliable, and capable of managing multiple priorities to ensure that all aspects of the project lifecycle are delivered in line with the agreed scope of work.

Principle Accountabilities 

  • Ensure compliance with HSE requirements, including HAZID, HAZOP, and HIRA processes, and conduct incident investigations and after-action reviews to drive continuous improvement.
  • Manage projects from tender through to completion, providing technical input, coordinating teams, and overseeing logistics, procurement, and equipment readiness.
  • Review and align project control budgets and baseline schedules with the “as sold” Cost, Time & Resource model, ensuring execution complies with the Product Line Integrated Management System and Management of Change process.
  • Maintain and update the Project Status Report (PSR) weekly, focusing on cost variance, risk and opportunity analysis, and key performance indicators, while ensuring timely invoicing and cash collection in collaboration with finance.
  • Monitor commercial risks through regular reviews of the risk register, identify variation order opportunities, and implement mitigation strategies.
  • Oversee the development and approval of operational procedures, conduct pre-mobilisation briefings including walkthroughs and risk assessments, and assess offshore team competencies.
  • Forecast technician requirements to support resource planning and ensure timely project closure, including reconciliation of purchase orders and final PSR issuance confirming gross margin and cash collection.
  • Capture client feedback and document lessons learned to enhance future project delivery and strengthen collaboration with internal service functions.

    Qualifications and Experience 

  • Strong administrative and organisational skills ideally gained within an equipment hire/oil services environment.
  • Ability to multi-task effectively, be confident and professional, and comfortable working to tight deadlines whilst maintaining a high level of accuracy.
  • Excellent communication and interpersonal skills.
  • High attention to detail with problem-solving abilities.
  • Familiarity with health, safety and environmental (HSE) practices in operational settings.
