About the Role

Executive Assistant
Full-Time, Permanent
London, Site-based with flexibility (may include travel as and when required)

The Role:
We are looking for a highly organised and proactive Executive Assistant to join our team on a permanent basis. This is a fast-paced and varied role, providing high-level administrative support to senior executives. You will play a key part in enabling leadership to focus on strategic priorities by managing schedules, communications, and travel logistics.

Based in our newly renovated London office, you’ll be part of a collaborative and supportive team environment. As we progress through an exciting transformation journey, this is a fantastic time to come on board and contribute to our evolving success!

What you’ll be doing:

  • Provide proactive executive support by managing complex diaries across multiple time zones and prioritising communications, meetings, and requests with sound judgement.
  • Anticipate needs, resolve issues independently, and prepare high‑quality correspondence, reports, presentations, and briefing materials.
  • Coordinate meetings, conferences, and key events, including preparing agendas, collating materials, distributing papers, and tracking follow‑up actions.
  • Manage financial administration such as purchase orders, invoices, expenses, and spend monitoring in line with company policies.
  • Arrange complex domestic and international travel, ensuring compliance with policies and risk management requirements.
  • Maintain accurate and organised document management systems while handling all confidential and sensitive information with discretion.
  • Conduct research and prepare summaries to support informed decision‑making.
  • Support the day‑to‑day management of the London office, acting as a key contact for facilities, maintenance, health and safety, and access requirements.
  • Liaise with internal teams and external providers to ensure timely resolution of issues and manage office services and supplies effectively.
  • Support compliance with HSEQ standards within the office environment.
  • Build strong working relationships with senior leaders, board‑level contacts, and external partners, representing the executive team professionally.
  • Coordinate effectively with other Executive Assistants and support teams across the business.

What we're looking for:

  • Extensive experience providing executive-level support within complex, fast-paced, and ideally global environments.
  •  Advanced proficiency in Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Strong background in coordinating complex international travel and logistics.
  • Experience supporting office and facilities operations.
  • Proven ability to handle confidential and sensitive information with discretion.
  • Exceptional organisational skills and the ability to manage multiple senior stakeholders effectively.
  • Strong judgement and decision‑making capability.
  • Excellent written and verbal communication skills suited to senior audiences.
  • Highly proactive, adaptable, and solutions-focused approach.
  • Strong attention to detail with the ability to deliver accurately under pressure.
  • Professional, credible communication style when interacting with senior stakeholders and external partners.
  • Collaborative mindset with the ability to build trusted working relationships across the organisation.
