The Role
We have an exciting opportunity for an Executive Assistant to join our team on a permanent basis. The role is dynamic and varied with the principal purpose of providing efficient, effective and professional support to our high-level executives, enabling them to focus on strategic and high-priority tasks by managing their schedules, communications, and various administrative tasks.
You will be part of a wider team and will be based in our newly renovated London office.

Principle Accountabilities
- Manage and maintain executives' schedules, including appointments, meetings, and travel arrangements.
- Screen and prioritise incoming communications, including emails and phone calls.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Complete relevant financial processes i.e. raising PO’s, payment of invoices, expenses.
- Schedule and coordinate meetings, conferences, and events.
- Prepare meeting agendas, and distribute meeting materials.
- Ensure meeting rooms are prepared with necessary materials and equipment.
- Arrange travel itineraries and meeting itineraries, accommodations, and transportation for executives.
- Prepare and process expense reports and reimbursement requests.
- Maintain accurate and organised filing systems for both electronic and paper documents.
- Conduct research and compile data to support executive decision-making.
- Handle confidential and sensitive information with utmost discretion.
- Oversee office supplies, placing orders as needed.
- Ensure the executive office environment is professional and well-organised.
Qualifications and Experience
- Previous experience as an Executive Assistant.
- Extensive experience in Administrative support.
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint).
- Experience in organising both domestic and international travel logistics.
- Experience of working with sensitive information.
- Excellent organisational and time-management skills.
- Strong written and verbal communication skills.
- Ability to multitask and prioritise effectively.
- Strong attention to detail and problem-solving skills.
- Professional demeanour and ability to maintain confidentiality.
- Ability to adjust to changing priorities and handle multiple tasks simultaneously.
- Team player, building positive working relationships with colleagues.
- Problem solver with the ability to identify ways to overcome difficulties.
