Job Purpose
We have an amazing opportunity for a Document controller to join James Fisher Renewables to define, implement, and govern a robust document control system and process within James Fisher Renewables (JFR).
This position will ensure efficient management and secure handling of all Integrated Management System as well as project specific documentation, contributing to overall operational effectiveness and compliance with internal and client requirements. By maintaining accurate and accessible documentation, the Document Controller will play a crucial role in enhancing customer satisfaction and delivering a superior service experience.
Principal Accountabilities
- Conducting a complete audit of existing documentation to implement a robust Document Management System (DMS) within James Fisher Renewables.
- Maintaining the DMS, continuously assessing and highlighting areas for improvement, and leading change initiatives
- Ensuring that contractual deliverables relating to Document Control are fulfilled
- Providing ongoing document control services at both an Integrated Management System level and also on specific projects
- Registering and controlling/issuing all project documentation on the chosen DMS with a recorded and traceable audit trail
- Ensuring checked and approved documentation is always correctly signed off by authorised personnel
- Managing the structure and permissions setting on the JFR SharePoint System
Qualifications and Experience
- Previous document control and administration experience in an engineering business, preferably in the offshore wind, oil and gas or electrical power utility sector
- Proficiency in Microsoft Office applications (e.g. Word, Excel, PowerPoint, SharePoint) and common IT practices is required. Familiarity with Power Automate would be preferable.
- Previous use of an Electronic Document Management System (DMS) system(s).
- Excellent written and oral communication skills and a strong attention to detail
- Ability to rapidly react to requests and expedite information.
- Auditing skills to verify the accuracy and compliance of documents
- Ability to influence at all levels of the organisation
- Experience of maintaining document history and authentication
- Awareness of Document Security and Legal Admissibility
- Awareness of GDPR and compliance
- Experience in reporting and tracking of data
